Quick answer
Under Settings, open Notifications and enable the channels and events you need. You can receive in-app and email notices about enrolments, cancellations, messages or payment issues.
Notification preferences control administrative notices for your account. They do not change announcements the club sends to families or staff, or other people’s personal preferences.
Before you start
Decide which events need a quick response and which you can review in the dashboard. Keep at least one useful channel for messages and critical issues, in line with how the club is organised.
Step by step
1. Open settings
In the dashboard, open Settings and select Notifications. Wait for saved preferences to load before changing switches.
2. Choose channels
Turn email and in-app notices on or off. A disabled channel is no longer used for compatible events, but previous notifications are not deleted.
3. Select events
Review the available options, such as new enrolments, cancellation requests, received messages, failed payments or overdue fees. Keep enabled anything that should be part of the team’s daily workflow.
Time record correction request controls the bell notification for time log correction requests (it is not sent by email).
4. Check that changes are saved
Each change is sent to the server and shows a confirmation. Wait until it finishes before switching the same option repeatedly, to avoid confusion about its final status.
Review failed or bounced emails
If you manage the club, open Communication → Emails. The Needs review view shows failed or rejected sends that still need attention. You can also choose Bounced, Failed payments or All to view the history. It is available in every country, with no additional feature activation.
At the top, a summary of the last 30 days shows Sent, Delivered, Opened, Pending issues and Failed payment alerts. Select any of them to open the corresponding list.
When a view has no emails, you will see a message explaining what would appear there and, where relevant, a shortcut: See all emails from Needs review, Go to payments from Failed payments or Go to announcements from All. When there are no issues left to review, the Pending issues card shows All reviewed.
Each row shows the recipient when identifiable, email type, subject, delivery status and reason, and the dates for each step: Sent, Delivered (accepted by the destination server), Opened (the person opened it; this is recorded only if their email loads images, so no open event does not mean they did not read it) or Bounced. A temporary delay is not treated as a permanent bounce.
The Subject column summarises the email’s subject (for example, the fee and amount or the receipt number). Select Details on any row to open a window with all the information and a link to the relevant item:
- Failed payment or payment reminder: fee, amount, athlete, reason the card was declined and current payment status (Still unpaid, Paid, Payment cancelled…). This lets you see whether the family received the notice and whether payment is still outstanding. The View this month’s payments button opens Payments for that month.
- Receipt or Invoice: number and amount, with a link to the document.
- Announcement: title, with a link to the announcement sent.
- Message: conversation subject, with a link to the thread.
- Enrolment: form and tracking code, with a link to the application.
If the item no longer exists or the email is not linked to one (for example, an invitation), you will see No details available. The details window also shows the reason for a delivery issue, what to do next and the complete timeline (sent, delivered, opened, bounced and reviewed).
When issues are waiting for review, the bell shows a notice with their number. Select it to open Emails. This notice follows the in-app notification channel and is sent only to club administrators; another email is not sent to notify you about a failed email.
- Read the reason: address not identified or invalid, mailbox full, provider block, spam complaint or another sending failure.
- If the recipient has a link, open it to check their profile or enrolment. Confirm the address with the person through another channel before correcting it.
- If the email was marked as spam or blocked, check what happened before sending it again. For persistent service errors, contact support with the email type and date.
- Use the sending action in the original flow where appropriate, such as the invitation in the guardian’s profile or sending the receipt.
- Select Mark as reviewed to remove the issue from the club bell notice. This does not change the email, resend it or delete its history.
Older records may not have a detailed reason. If the address no longer matches a profile or enrolment kept by the club, you will see Recipient unavailable. A bounce is not attributed to a new address after it is corrected. The record reflects the latest known attempt for each send; resending with a new identifier updates its status.
Check the emails sent to a guardian
If you manage the club, open a guardian’s profile from Guardians and go to the Emails tab. You will see the emails the club has sent to their current address, newest first, with a summary of Sent, Delivered, Opened and Issues.
Each row shows the email type, the subject, the delivery status and the dates it was sent and opened or bounced, just like Communication → Emails. Select Details to see the full timeline; if an issue is already solved, select Mark reviewed. Use Load more to see older emails.
Only emails sent to the guardian’s current address are shown: if their email was changed, emails sent to the previous address do not appear on their profile. People who do not manage the club do not see this tab.
If something goes wrong
- The switch reverts: the update was not saved; check your connection and make the change again.
- An email does not arrive: check the event, channel, account email address and junk folder.
- You still see an in-app notice: it may have been generated before the change or relate to another event type.
- Another person receives something different: preferences are personal and must be checked in their own account.
