Practical guide

Set up online payments with Stripe

Connect Stripe, complete verification and configure saved cards and payment details collected during enrolment.

Quick answer

Connect Stripe, complete verification and return to Clybo’. Once active, saved cards and payment details during enrolment are enabled by default; you can turn off either setting.

Clybo’ uses Stripe Connect so card payments are processed in the club’s connected account. Identity verification and bank details are managed in Stripe.

Enrolment payments, payments run from Payments, automatic payments and families’ Pay now transactions are received directly in the club’s Stripe account. FlamaTech never charges families. It invoices the club separately for its platform service when applicable; it does not receive the amount of those fees or withhold a platform commission from a payment.

Each club must connect its own Stripe account. An account linked to another club cannot be used here, even if it has been disconnected from that club: if you manage Montserrat and Alcàsser, payments from Montserrat families go to Montserrat and those from Alcàsser families go to Alcàsser. Check the entity and bank account when authorising the Stripe connection.

A confirmed payment first enters the club’s Stripe balance. The deposit into its bank account depends on Stripe’s payout schedule; Paid does not mean the bank has already received the money.

Before you start

The person completing the process must be authorised to provide the entity’s details. Stripe may ask for:

  • The club’s legal identity and address.
  • Details of representatives or responsible people.
  • The bank account for payouts.
  • Additional documents to verify the entity.

Payments can be enabled once Stripe has verified the entity and the connected account appears as active in Clybo’.

Step by step

1. Open the integration

During setup, open Payment method. If you have already finished the wizard, open Settings → Integrations and find Stripe Connect.

2. Start the connection

Under Integrations, select Connect Stripe. Clybo’ will take you to Stripe in the same window so the process stays linked to the correct club.

3. Complete your details in Stripe

Follow Stripe’s form and provide the requested information. Use an email address the treasurer can access: Stripe will send verification, payout or dispute notices there.

You can save your progress and continue later if Stripe needs documents you do not have right now.

4. Return to Clybo’

When you finish, Stripe will return you to Clybo’. The screen updates the account status and automatically checks the link.

If you use the installed management app, the system may show the external flow or its return in a browser. If that window asks you to sign in, use the email code or your password there, with the same administrator account you started with. Clybo’ keeps the return, checks your permissions and continues in that club, even if you previously remembered another one. Google is not offered during this recovery. Wait for the result; afterwards, you can return to the app from its icon and open Settings → Integrations to check the status. Do not reconnect the account just because a window closed. The management app installation guide explains sign-in and returns on iPhone.

5. Understand the status

Clybo’ checks the account’s actual status with Stripe whenever you open Integrations. Each status tells you what to do:

  • Not connected: no account is linked yet. Select Connect Stripe.
  • Pending · complete onboarding in Stripe: the Stripe account setup is incomplete.
  • Pending · more details needed in Stripe: Stripe needs more information to enable payments, such as a document, bank account or entity details. Select Open Stripe, complete what it requests, return and select Refresh status.
  • Pending · Stripe review: details have been submitted and Stripe is verifying them. You do not need to do anything; payments will be enabled when the review is complete. Reconnecting the account does not speed up the review.
  • Connected · charges and payouts active: Stripe says charges and payouts are enabled.
  • Issue · reconnect: Clybo’ cannot access the account, for example because access was revoked or the account was deleted in Stripe. Select Reconnect.
  • Payments disabled by Stripe: Stripe disabled payments for another reason. Select Open Stripe to see the notice and follow its instructions.
  • Rejected by Stripe: Stripe will not accept the account. Clybo’ cannot reverse this; contact Stripe support from your Stripe dashboard.

Below the status, you will see a notice with the same details. Only Issue · reconnect can be resolved with Reconnect.

6. Check the linked email

Clybo’ shows the email address associated with Stripe. It may differ from the email you use to manage the dashboard, for example if the account belongs to the treasurer; make sure the club controls access to both.

7. Review the default card settings

When Stripe becomes active, Clybo’ enables Card for future payments and Ask for payment details during enrolment by default. Review both switches in the integration and turn off either if it does not fit the club’s process. Asking for payment details lets a family enter their card on the form; it does not trigger an immediate charge. Fees and enrolment payments are configured separately.

8. Complete the commercial setup

When the account is active, review the Clybo’ plan and prepare the fees or enrolment payments you will use.

The Stripe connection and platform subscription are separate settings: one enables the club’s payments and the other maintains the Clybo’ service.

If something goes wrong

  • The status does not change when you return: wait a few seconds and select Refresh status. If it is still Pending · Stripe review, Stripe is still checking the details; review can take from a few minutes to several days.
  • Stripe asks for more information: complete the task directly in Stripe; Clybo’ cannot approve verification on its behalf.
  • The account already belongs to another club: sign in to Stripe with the account belonging to the club you are setting up. Switching clubs in Clybo’ does not change the entity that owns a Stripe account.
  • GoCardless or Stripe direct debit is unavailable: Clybo’ does not offer direct debit through these providers. Stripe is used for cards; use bank collections to collect fees by direct debit.
  • You used another email: this is not necessarily an error. Confirm that the treasurer receives and handles notices for that account.
  • The account is active but a form does not collect payment: check the payment block and fee, and confirm that payments are enabled for the club.
  • You do not want to save cards or request payment details during enrolment: turn off the relevant setting; activation only sets the default.
  • You do not want to set it up now: during the trial, you can finish club setup and return later under Integrations.

Next step

Define what you will collect with Create the club’s first fee and, if you prefer manual bank collections, see Set up and generate bank collection files.
