Quick answer
To create a fee, set its name, amount, frequency, season and tax treatment. Save the plan to reuse it for teams, athletes and enrolments without configuring each charge again.
A fee defines the amount to be paid, how often it recurs and who it applies to. You can then assign it to athletes or offer it through a team.
Before you start
Confirm the following with the treasurer or tax adviser:
- The fee name and amount.
- Whether it is monthly, quarterly, half-yearly or annual.
- Whether it applies per athlete or another available subject.
- The correct tax treatment.
- The season and usual collection day, if applicable.
The club’s tax profile must be up to date because Clybo’ uses it to suggest tax options and the document type.
Step by step
1. Open the fees catalogue
Open Fees from the club menu and select New fee.
2. Identify the fee
Enter a name the team will understand, such as “Monthly academy fee”, and add a description if you need to distinguish it from other versions.
3. Enter the amount and tax details
Enter the amount per period and select the applicable tax option. The preview shows the total and the document that the current configuration will generate.
Do not choose an exemption just because the club is a sports organisation: use the tax status confirmed for that activity.
4. Choose the frequency
Choose whether the amount recurs monthly, quarterly, half-yearly or annually. The amount you enter applies to each cycle; it is not an estimated monthly amount.
5. Link the season and collection day
If the fee belongs to a particular season, select it. Check that the season length fits the frequency to avoid an unexpected final cycle.
Enter a collection day when the method allows it. This is a suggested value and can be adjusted when someone enrols.
6. Save and assign
Save the fee. You can then use Assign to link it to eligible athletes, or select it as a team’s default fee.
Creating a fee does not charge anyone on its own: it needs an active enrolment or assignment and a prepared payment method.
If something goes wrong
- The expected tax type does not appear: check Settings → Tax and confirm the club’s profile.
- You see a date warning: the season does not contain a whole number of cycles; check the frequency and price per period.
- You cannot assign it to someone: check that they are active and meet the enrolment requirements.
- The fee does not appear for a team: check that it is still active and reopen the team form.
- The fee is no longer used: archive it to keep the history. Do not delete information needed to understand previous charges.
Next step
Prepare the collection method with Set up online payments with Stripe, or select the fee while following Create a season and your first team.
