Practical guide

Manage your Clybo’ subscription

Check your plan, renewal, invoices and payment method, schedule cancellation and understand read-only mode.

Quick answer

If the trial expires or the club is suspended, Clybo’ keeps the dashboard in read-only mode: you can view everything, but cannot make changes until the subscription is brought up to date.

The platform subscription is separate from payments the club collects from families. This section manages the Clybo’ plan, its invoices and the card the club uses to pay for the service.

Before you start

Sign in with an administrator account and check that you can authorise payments for the club. Review the period, price and included services before starting or changing a subscription.

See the current plans and prices: Basic costs €29/month, or €290/year if you pay the year in advance (2 months free), including VAT and with no athlete limit. Federation plans are quoted individually. Clybo’ does not add its own commission to payments from families; the payment provider applies its fees. Tax services are purchased separately, depending on the country and available activation.

If you want to learn about the product before subscribing, select Request a demo on the website and complete the form for a 30-minute video call. The link opens a demo request, not a recorded video.

Step by step

1. Check the current status

Under Settings → Subscription, review the plan, billing frequency, status, renewal date and any scheduled cancellation. Payment issues are shown separately from the period of use.

2. Subscribe when needed

If there is no subscription yet, choose Monthly or Annual above the plan and select Choose Basic to continue to Stripe’s hosted flow. With Annual you pay the whole year in advance (€290 instead of 12 payments of €29) and receive a single invoice per year. Stripe will ask for the club’s billing address and, if the club has an EU VAT number, you can add it. If the EU VIES system does not recognise it, we will remove it and your invoices will include VAT. VAT is included in the price and shown separately on the invoice. Review the summary before confirming; the first charge depends on the club’s status and trial end date.

3. Update the payment method

Select Manage payment method to open Stripe’s secure portal. Complete the update there and return to Clybo’. When available, the dashboard will show the card brand, last digits and expiry date.

4. Download platform invoices

In the history, open the relevant invoice and select download. These invoices document Clybo’s service to the club; they are not the invoices or receipts the club issues to athletes and families.

5. Cancel or reactivate

Cancellation is scheduled for the end of the paid period. If you change your mind before that date, select Reactivate. Read the impact summary before confirming either action.

6. Use read-only mode if the subscription expires or is suspended

When the trial ends without a subscription or the club is suspended, you can still navigate the dashboard and view data. A permanent notice explains the status and links to Subscription, but actions that change information are blocked until the subscription is brought up to date.

If something goes wrong

  • Stripe does not return to the dashboard: return to Subscription manually and refresh the page.
  • The card does not change: confirm that you completed the hosted flow and that no action is still pending.
  • The invoice does not download: try again from the history; the link is resolved on demand.
  • The club is in read-only mode: use the link in the notice to bring the subscription up to date; you can view data but cannot make changes while the suspension continues.
