Take attendance, even offline

Record who is present, absent, excused or late from a session, and sync changes when your connection returns.

Quick answer

Open a session in the staff app, select Attendance and mark each athlete as Present, Absent, Excused or Late. Offline, changes remain pending and sync when your connection returns.

Attendance is recorded per session: each training session has its own register, even if another session of the same team falls at the same date and time. Offline mode lets you continue in places with poor coverage, but wait for synchronisation before treating the record as final.

Before you start

Open the session while you still have a connection so the roster can load. Check that the team, date and time are correct. Do not use a similar session as a substitute for one that is missing.

You need to be assigned to the team in the active club. Attendance is a team-work feature; payment permissions or dashboard access do not extend that assignment.

Step by step

1. Open the correct session

From Home or Calendar, select the training session and tap Attendance. Check the heading before marking anyone.

You can take attendance for a session moved to another day and for an extra session, even if they do not match the weekly schedule. The original day of a moved session no longer accepts attendance: open it on its new date. If the team has two sessions at the same time that day (for example, a moved one and the usual one), open each one from Home or Calendar: each register keeps its own marks.

Review consents without leaving the register

The Consents panel appears above the roster and is open by default. It shows how many athletes have notices, and distinguishes the count of documents pending, rejected or withdrawn for each person. Tap a row to read its documents in View only mode, then close it to continue. You can collapse the panel to make more room while taking attendance.

Photo-authorisation documents also show Photos pending, Photos rejected or Photos withdrawn under the athlete’s name, beside their attendance controls. These notices remain visible when the summary is collapsed and can be tapped to open the document. A pending new version keeps its notice even if the previous one was signed; if there is a rejection and a new request, both are shown. They are identified by the photo document type configured by the club, not by its title. The absence of a notice does not prove that authorisation exists if consent data is missing.

In the details, the main status explains what is missing. Previous response separately shows the earlier decision, date and version. View response version opens that text or PDF, marked as Previous response document; View pending version returns to the current request. Viewing an earlier signature does not change the pending status or attendance marks.

Notices do not change the P/A/E/L marks or block Save attendance. Rejection of an optional document is a valid response; staff cannot accept it on behalf of the guardian. If a signature needs to be requested, tell a manager to use Legal documents.

Consents are checked separately from attendance: if they fail to load or there is no connection, you can still mark the session. When saved data is available, the app shows when it was checked; otherwise it displays a notice that the information is unavailable. Opening a PDF may require a connection. Screen updates keep your unsaved marks for this session.

2. Mark each status

Mark Present, Absent, Excused or Late based on confirmed information. You can use Mark all present and then correct exceptions. Select Save attendance to record the result. Review the entire roster so no status is left unclear.

Use Late (the L button) when an athlete arrives after the session starts. If they were already marked Absent, change it to Late and save again; this corrects the same record. The Late arrivals counter appears separately and also works offline.

Late arrivals count as attendance in the family and staff history percentage; absences and excused absences count as not attended. In the family app, they can be viewed in the athlete’s profile under the Attendance tab, once the changes have synced. Available to staff assigned to the team in all countries, with no additional activation.

3. Save changes

With a connection, the app sends the record to the club and updates the session. Wait for confirmation before closing if you need to make sure the data is on the server.

4. Work offline

If the internet connection fails, continue taking attendance. The app saves a local queue and shows that changes are pending. Do not clear browser data or sign out while that notice remains.

A temporary connection failure lets you keep using the roster you already loaded. If, instead, the club tells the app that you no longer have team access, it hides the saved roster and the controls to mark or save attendance, including the button in the tablet’s top bar. Working offline does not preserve access that the club has revoked.

5. Check synchronisation

When the connection returns, leave the app open until the pending status disappears. Return to the session and check that the marks match what you recorded.

If someone else corrected a mark after you recorded it offline, your mark does not replace it: the app tells you how many marks were not applied and the register shows the saved correction. Review the session and save again if it still needs changing. The same happens if you save online a register that someone corrected while you had it open. Your own later corrections do replace your earlier marks.

View an athlete’s summary

Open Teams → roster → athlete’s name. The Attendance panel brings together the current and previous month with percentages, counts and calendars. View sessions expands each month’s details. Only confirmed records from your teams count: a day with no record is not the same as an absence. Pending offline marks are added when they sync. See Staff teams and sessions to understand the percentage and symbols.

If something goes wrong

  • The roster is empty: check the team, club and athlete assignments.
  • The app denies access to the team: ask an administrator to check your assignment; saved data does not let you keep recording attendance after access has been denied.
  • Changes do not sync: keep the app open with a stable connection and return to the session.
  • You marked the wrong status: correct it in the same session and save again.
  • Notice about marks not applied: someone corrected those marks afterwards. Open the session, check the saved status and change it only if it is still necessary.
  • “This group has more than one session at that time.”: open the specific session from Home or Calendar instead of an old link.
  • You changed devices before syncing: return to the original device; the pending queue is local.
