Plan a team's training week

Set up a typical week with the blocks for each time slot in the timetable, apply it to the whole season and change it from a given date without touching earlier sessions.

Quick answer

In Teams, open the team and the Program tab. Select Create program or Edit program, prepare the blocks for each time slot and select Apply changes… to choose the date it applies from. Earlier sessions keep their plan.

The weekly program is a team’s typical week: the blocks worked on in each time slot of its timetable, for example Tuesday and Thursday from 17:45 to 19:00. You prepare it once and every session of the season arrives already planned. That way you only need to adjust the days that are out of the ordinary.

When the plan changes, for example when moving from pre-season to pre-competition, you choose the date the change applies from. Earlier sessions keep the plan they were trained with.

Before you start

  • The program is part of the training workspace. If you cannot see the Program tab, the training workspace is turned off temporarily or for your club.
  • It is prepared by managers with dashboard access. In the staff app, staff see the plan for each session, read-only.
  • The program follows the time slots of the team’s timetable. If the team has no timetable, add it first in Details, as explained in Manage a team’s roster, timetable and coaches.
  • Extra sessions do not follow the program: they are prepared day by day in Prepare training.
  • If the club is in read-only mode, you can view the program, but you cannot apply or delete changes.

Step by step

1. Open the team’s program

Under Teams, open the team and select the Program tab. On mobile, choose Program in the section selector.

If the team does not have a program yet, you will see No weekly program yet. Select Create program to start with empty time slots, or Start from a template to copy a club template, or a preset one, into every time slot and adjust it afterwards.

2. Prepare the blocks for each time slot

Each time slot in the timetable has its own card, with the day, the time and the time bar. Blocks are edited just as in Prepare training: Add block, name, minutes and instructions, a handle to reorder and Remove. Each block’s times are calculated from the start of the time slot.

In each time slot you can also:

  • Load template: copies the blocks from a club or preset template, adding them to the end or replacing the existing ones.
  • Create template: saves that time slot’s blocks as a club template.
  • Copy from Tuesday (or whichever day applies): copies the blocks from another time slot. With more than two time slots, the button is called Copy from… and lets you choose which one. If the time slot already had blocks, you are asked to confirm before they are replaced.

While you edit, new blocks carry the New tag, changed blocks are marked and each time slot shows its changes. The Changes not applied bar sums up what is pending and stays in view. Discard takes you back to the program without changes.

Nothing is applied until you select Apply changes…. If you try to leave with pending changes, You have changes to the program that haven’t been applied appears: choose Keep editing or Discard and leave.

3. Choose when the change applies from

Select Apply changes…. The window shows:

  • What changes: the summary for each time slot, for example “Tuesday · + Hoop throws (10 min)” or “Thursday · Ballet 25 → 20 min”.
  • From: the date it starts to apply. By default it is today and it can never be earlier. If you choose today, the change includes today’s sessions even if they have already finished.
  • Until: by default, the end of the season or, if there is already a change scheduled later, the day before that change, which is not modified. You can choose an earlier date so that the change lasts only for a period, for example a few weeks of pre-competition. The next day, the program that was in place before returns and the window tells you so. If the team did not have a program yet, the sessions go back to having none.
  • How many sessions will have the new program and between which dates, and confirmation that earlier sessions don’t change.
  • The sessions with their own plan in the period, that is, those prepared by hand in Prepare training, with their dates. They do not change unless you tick Also replace those plans with the program. That replacement deletes their own plans and cannot be undone.
  • Change name (optional), for example “Apparatus technique”. It appears in the program versions and in each session’s preparation.

Select the Apply from… button, which shows the chosen date. The new program becomes a version that applies from that date. If it is the team’s first program, the window is called Create the program and reminds you that earlier sessions stay without a program.

If someone else changed the program while you were editing, you will see Someone else changed the program. The new version is loaded and your draft is kept, so that you can review it and apply it again.

4. View the versions and the history

At the top, the tab shows the nearby versions: the last past one, the Current one and the next Scheduled one, with their dates and sessions. If there are more, select and N more.

Select History to see every version, with who created it, when and how many sessions it has, including those with their own plan. Select View to look at one:

  • A past version is kept exactly as it was trained and cannot be edited.
  • The current version is not edited in place: when you change it, you create a new version from the date you choose.
  • A scheduled version, which has not started yet, can be changed with Edit without moving its date (the window is called Update and you save with Save changes) or deleted with the bin. When you confirm Delete change, its sessions go back to following the previous version.
  • If you applied a change with Until, the return to the previous program appears as another scheduled version, with the name of that program or No program. If you delete it, the change keeps applying after that date.

Select Back to current to leave the history.

5. Adjust a specific day in Prepare training

In Prepare training, each session shows where its plan comes from:

  • From the program, with the version’s name and its date. If you change something and save it, only that session gets its own plan; the rest keep following the program.
  • This session’s own plan, when it was prepared by hand. Back to the program deletes that own plan, after you confirm, and the session follows the program again. It is only available on sessions from today onwards and keeps attendance and notes.

View program opens the team’s Program tab. A template applied with Add to the end of the plan is added to that session’s program blocks.

If you move a session to another day, it keeps the program of its original date. The On the floor view and the staff app show the plan that applies to each session: its own plan or, if it has none, the program’s.

If something goes wrong

  • You cannot see the Program tab: the training workspace is turned off temporarily or for your club.
  • “This team has no schedule” appears: select Go to Details and add the team’s time slots.
  • Apply changes… is disabled: there are no changes yet or a block has no name.
  • You cannot choose a date: past dates, dates outside the season and dates from an already scheduled change onwards are not allowed. To change that period, edit the scheduled change from History.
  • A session has not changed with the program: it has its own plan. Use Back to the program in Prepare training or tick the replacement when you apply the next change.
  • “The team’s schedule changed while you were editing” appears when applying: someone has changed the time slots. Open the program again and review your changes.
  • You want to remove a time slot from the timetable: when you save the timetable, a notice shows the time slots that had blocks in the program. Their blocks leave the program, and past sessions with saved data keep a copy as their own plan.
