Manage athletes' quick tags

Create internal colour tags, assign them to one or more athletes and filter manager and staff lists.

Quick answer

Quick tags let clubs classify athletes with their own names and colours. Managers maintain the catalogue and assignments; staff use existing tags for their teams. Families cannot see them.

Use Quick tags to find groups of athletes without changing their teams. For example, you could create “Extra training” and “Competition” and assign both to the same person. Each club chooses its own names and colours.

Before you start

Select the correct club and check your access:

  • Manager: you can create tags, change their names or colours, and assign them individually or in bulk from Athletes.
  • Staff: you can view and assign existing tags to athletes who currently belong to your active teams in the same club. You cannot create tags or edit the catalogue. If someone leaves the team or you are no longer assigned as their coach, you lose that access. Payment permissions alone do not give you access to their tags.
  • Families: guardians cannot view tags or the club catalogue.

The catalogue starts empty and is not shared between clubs. The feature is available in all countries, with no additional activation. You need a connection to save changes; a club in read-only mode lets you view but not save changes.

Step by step

1. Create the club catalogue from the manager

Open Athletes → Manage tags and select Create tag. Enter a Tag name, up to 40 characters, choose a Colour and select Save.

You can choose Purple, Amber, Mint, Blue, Pink or Coral. Use names staff can recognise: colour supports the text, but does not replace it. The club cannot have duplicate names, even if you change capital letters or spaces.

To change an existing tag, select the pencil beside its name, edit its name or colour and save. The change appears in every profile that uses that tag. Use Search tags… to find it in the catalogue. Current management supports creating and editing tags; it does not offer an action to delete a tag from the catalogue.

2. Add or remove tags for one person

In the Athletes list, select + beside the name or at the end of the row’s tags. On desktop it appears when you hover over or focus the row with the keyboard; on touch screens it is always shown.

You can also open the profile: under personal details, find the Quick tags card above Recent activity. Select +, or Add tag if there are none yet.

Tick the tags you want to keep and select Apply tags. Unticking a tag removes it only from that person; it does not delete it from the catalogue or other profiles. To remove all tags, untick every option and apply the selection. The list shows up to two tags and a +N counter for the rest; open the editor or profile to review them all.

If you need a new tag, you can select Create tag in the editor. Save creates it in the catalogue; then Apply tags saves the assignment. Cancel discards the pending selection, but does not delete tags already created or undo name or colour changes you have saved.

3. Add or remove tags in bulk

Under Athletes, tick the boxes for the people you want to change and select Quick tags on the bottom bar. The editor opens as Tags for selection.

Choose Add or Remove, tick the tags and select Apply tags. The operation adds or removes only the tags you ticked and keeps each person’s other tags. Check the selected count before applying it.

Each operation supports up to 1,000 athletes and 50 tags. If you select more than 1,000 people, the action is disabled; split the work into smaller groups. Changing the search, status or tag filter clears the athlete selection; select the group you want to work on again.

4. Filter the list by tags

Open Tags and tick the ones you want to find. The filter applies immediately whenever you change an option. Choose:

  • Any: show athletes with at least one of the selected tags.
  • All: show only athletes who have every selected tag.

For example, with “Extra training” and “Competition”, Any includes people with one or both tags; All includes only people with both.

Combine the filter with the search and list status. Filters remain when you load more results. In the dropdown, Search tags… lets you find names without losing the options already selected.

Select outside the panel, × or Escape to close it and keep the filter; it also closes when you move keyboard focus outside. Clear removes the tag filter and keeps the search and status you selected.

5. Use tags in the staff app

Under Teams → your team, open a person’s roster profile. Under Quick tags, select +, tick or untick existing tags, and select Apply tags.

To create a tag or change its name or colour, ask a manager to update the catalogue. The staff app does not offer the manager’s bulk assignment.

On the team screen, the Tags filter offers Any, All, Search tags… and Clear. It combines with search and applies to both Roster and Consents.

If the app receives a denial of access to the catalogue or a person’s tags, it hides the saved data and tag actions; if the editor is open, it closes. A connection is needed to learn about removed access. A temporary network failure keeps the editor open with its selection so you can retry or cancel.

If something goes wrong

  • “Your club does not have any tags yet”: a manager must create the first one under Manage tags. Staff cannot do this.
  • The name already exists: search for the tag before creating another. Changing capital letters or adding spaces will not make it unique.
  • You cannot find a tag: clear the search in the editor or filter, and check that you are in the right club.
  • No athletes appear for the filter: try Any or select Clear; also check the search and list status.
  • You cannot save: check your connection and permissions and make sure the club is not in read-only mode. If saving fails, the editor keeps your selection so you can retry or cancel; check the profile’s tags after applying.
  • Staff cannot open or change someone’s tags: check that the person is still in one of their active teams and that their coaching assignment is still current. Being able to view that person’s payments does not give access to their tags.
  • The bulk action button is missing: select at least one row as a manager. For more than 1,000 athletes, split the operation into groups.
