Add and manage an athlete's photo

Upload a private photo from the family profile, adjust the crop and delete the image when it is no longer needed.

Quick answer

Open the athlete's profile and select Add photo. Choose an image, adjust the crop and select Use this photo; you can also change or delete it from the profile.

A private photo helps authorised staff identify the athlete correctly for the club’s internal work. It is not published on the web and does not replace consent for sharing images; the authorisation associated with uploading is limited to the club’s internal use.

Before you start

Choose a recent, forward-facing portrait with good lighting. JPEG, PNG or WebP images up to 10 MB are accepted. Avoid group photos, screenshots containing personal details, or images for which you cannot confirm the necessary authorisation.

Step by step

1. Open the athlete’s profile

In the families’ app, open the relevant child. Select Add photo; if a photo already exists, select Change photo.

2. Choose an image

Review the Passport-style photo guide and select Choose photo. Select an image from your camera or gallery. If the format or size is not supported, the app will ask you to choose another image before uploading starts.

3. Adjust the crop

Drag the image and use zoom to centre the face within the frame. Select Centre to reset the crop, or Choose another to select a different file. The preview shows how the photo will appear on the club’s screens.

4. Confirm use of the photo

Select Use this photo when you have authorised its internal use. This action records the authorisation associated with the image; there is no separate checkbox in this flow. It does not grant permission to publish the photo on social media, in advertising or through other external channels.

5. Save and check the result

The app crops the photo to 600 × 750 pixels and optimises it before uploading. Wait for the upload to finish and check the updated avatar. Staff can only see it in teams and features they are authorised to access; initials are shown when there is no photo or authorisation.

6. Change or delete the photo

You can replace it with Change photo, or remove it using Delete and the subsequent confirmation. Deleting it immediately revokes the internal authorisation and removes the photo from view; physical deletion of the file is completed later according to the technical retention period.

If something goes wrong

  • The image is not accepted: use JPEG, PNG or WebP and check that it is no larger than 10 MB.
  • The face is cropped out: return to the crop tool, zoom out and centre the image before confirming.
  • The control is missing: check the active club, your link to the athlete and whether the app is up to date.
  • The photo still does not appear: refresh the profile; if the problem persists, contact the club without sending the image through an insecure channel.
